Quick answer: Before booking a wedding venue, couples should ask about what’s included in the rental, capacity and layout flexibility, vendor policies, alcohol service, weather contingency plans, payment and cancellation terms, and what support the venue provides on the wedding day. This guide walks through 20 of the most important questions — and what the answers should tell you.

Most couples tour two to four venues before booking. The visits tend to feel similar on the surface — a walkthrough of the spaces, a look at the pricing, maybe a few photos. What separates a confident booking decision from a stressful one is knowing what to ask while you’re there.
At Twenty & Creek in Sandy, Utah, we walk couples through these questions on every tour. Some of the most important venue policies don’t come up unless you raise them — and some answers that sound fine in the moment carry real consequences later in the planning process.
This guide covers the 20 questions that matter most, organized by category, so you can walk into any venue tour prepared. If you’re still comparing venue types, our guide to how to choose a wedding venue in Utah is a good place to start. What’s included in the rental
This is where venue comparisons get complicated quickly. Two venues at the same price point can include very different things, and the cost of what’s not included adds up fast.
1. What furniture and equipment is included — tables, chairs, bars, AV, lounge pieces?
2. Are getting-ready spaces included for both the wedding party and the groomsmen?
3. Is setup and breakdown time included in the rental block, or does it count against your event hours?
A venue that includes farmhouse tables, chairs, bars, AV, and getting-ready suites in the base rental is genuinely different from one that charges the same fee but requires you to rent all of those separately. Add up the rental costs for what’s missing before comparing prices.
At Twenty & Creek: Every rental includes private access to the full property — the Grand Hall, Ceremony Hall, English Gardens, outdoor patio, Bridal Suite, Groom Lounge, farmhouse tables, chairs, bars, AV equipment, and parking. Setup time is built into the rental block, so it doesn’t cut into your event hours.

Capacity and layout
Guest count is the clearest constraint in venue selection, but it’s worth going deeper than the maximum number.
4. What is the seated capacity for a plated dinner, and what is the capacity for a flowing reception?
5. Can the ceremony and reception both take place on-site, or does one require a separate space?
6. How do the indoor and outdoor spaces connect — and is that connection usable during your target season?
The gap between a venue’s seated and flowing reception capacity can be significant. Get a clear answer for your specific event format, and pay attention to how the spaces flow into each other. At well-designed venues, guests move between indoor and outdoor areas without feeling like they’re leaving the event.
At Twenty & Creek: The venue seats 200 for a plated dinner and accommodates 350+ for a flowing reception. The ceremony, cocktail hour, dinner, and dancing can all take place on the same property, with the English Gardens, outdoor patio, and Grand Hall designed to connect naturally across the full day.

Vendor policies
This is one of the most overlooked areas in early venue research, and one of the most consequential.
7. Does the venue have a required caterer, or can you bring in your own?
8. Which vendors are required, which must come from a preferred list, and which can you choose freely?
Some venues — particularly hotels and a handful of event spaces — require you to use their in-house catering. Others have a list of approved caterers you must choose from. A truly open vendor policy gives you the most flexibility on food, florals, photography, and entertainment. If you already have vendors in mind, confirm they’re allowed before you book.
At Twenty & Creek: A licensed wedding planner is required for all events. Catering and bar service must be selected from the venue’s preferred vendors list. All other vendors — photographers, florists, DJs, officiants, and others — are chosen freely by the couple, with the requirement that they are licensed and insured.

Alcohol service
In Utah especially, alcohol policies vary more than couples often expect — and they’re worth clarifying early.
9. Is alcohol permitted at the venue?
10. What can be served — beer and wine only, or full bar?
11. What is the latest time alcohol can be served?
Some venues in Utah County and parts of the Salt Lake Valley prohibit alcohol entirely or limit service to beer and wine. If a full bar and a later reception timeline matter to you, verify both before you get attached to a space.
At Twenty & Creek: Alcohol is permitted. The bar service is contracted through our partner, Copa. This is one of the questions we’re asked most often — particularly by couples who have toured venues in Utah County — and it’s worth confirming at every venue on your list.

Weather and contingency planning
Utah’s weather is genuinely unpredictable in spring and fall, and even summer evenings can shift quickly. Any venue with outdoor space should have a clear answer here.
12. What is the weather backup plan if the ceremony or reception needs to move indoors?
13. Is the indoor backup space the same size as the outdoor space, or does capacity have to be reduced?
14. Is there a cost to activating the backup plan, or is it included in the rental?
The best answer is a venue where indoor and outdoor spaces are comparably sized so that moving inside doesn’t feel like a compromise. If a venue’s weather backup is a tent or a significantly smaller room, that’s worth knowing before you build an outdoor reception around it.
At Twenty & Creek: The venue includes both indoor and outdoor event spaces, so couples aren’t locked into one or the other. A venue coordinator works directly with your wedding planner in the lead-up to the event to finalize layouts and contingency plans before your wedding day — so if the weather shifts, there’s already a plan in place and nothing is being figured out in the moment.

The wedding day timeline
Understanding how the day actually works — not just the spaces — matters a lot.
15. What time does vendor access begin for setup?
16. What time does the event need to end, and does that include cleanup?
17. Are there noise restrictions or a hard end time for music?
A venue that gives vendors two hours to set up before a 4 PM ceremony is a very different experience from one that allows access from 10 AM. If your florist, caterer, and AV team all need loading dock access at the same time in a compressed window, that’s a real coordination challenge.
At Twenty & Creek: Full wedding rentals include a 12-hour block. Vendor access begins well before the first guests arrive, so your team has adequate time to set up without it feeling rushed. If you’d like extra time, you can add on extra hours for an additional fee.

Payment, booking, and cancellation
18. What is the payment schedule, and does the venue offer a payment plan?
19. What is the cancellation policy, and under what circumstances is the deposit refundable?
Venue contracts vary significantly. Some require the full balance 90 days before the event. Others offer flexible payment plans. Understand the cancellation terms before you sign — especially what happens in circumstances outside your control.
At Twenty & Creek: A flexible 4-payment plan is available for all bookings. For a full breakdown of pricing and what’s included at each tier, see our Utah wedding venue pricing guide.

Day-of support
This question catches a lot of couples off guard.
20. Will a venue representative be on-site for the full event — and what is their role?
There’s a meaningful difference between a venue that has staff on-site to manage the building and one that has a coordinator actively helping the day run smoothly. Know which one you’re getting, and plan your wedding day coordination accordingly.
At Twenty & Creek: A venue representative is on-site for the duration of every event, managing the property and serving as the point of contact for vendors and logistics throughout the day.
